Renewal Incentives

Returning to Girl Scouts after being a Lapsed Member

A lapsed member is a person who had a membership in 2019-2020 and did not return for the 2020-2021 membership season.  Because some of our families needed to pause their participation in Girl Scouts due to the pandemic this past year lapsed members will have the opportunity to rejoin Girl Scouts through an Extended Year Membership for $35. The Extended Year Membership offer covers membership for the remainder of the current year and carries through September 30, 2022. It is usually only available to new members.

Lapsed members may also choose to purchase an annual membership for $25.  This membership will begin October 1, 2021 and is identified as Next Year in the registration process.

It’s important to note the difference between “Current Year - 2021” and “Next Year - 2022” when selecting an annual membership for returning lapsed members. The Current Year - 2021 membership will expire on September 30, 2021. The Next Year - 2022 membership will begin on October 1, 2021, and carry through September 30, 2022. 

If a returning lapsed member is planning to participate in special events and programs, Summer Camp, or join a Troop, an Extended Year membership is the best fit.  

If they will not be returning until Fall, the “Next Year - 2022” membership product may be the best option.

Please be sure you’re paying careful attention to the different membership options. Remember, Girl Scout memberships are not refundable. 

Membership Renewal Tips

Adults can renew memberships for their household members through the My Account portal. To access My Account, visit the council’s website and select MyGS.

From there, you will log in using your email address and password. If you can’t remember your password, you can select “forgot password” to have a reset email sent to you. If you do not receive this email and have confirmed it did not go to your spam/junk folder, please contact a member of our Member Care team for assistance. 

Once you’re logged in, you will select “My Account” in the top right hand corner to access both your household and troop information

Tips for Renewing Family/Household Members

To begin renewing your family, click on “My Household” and select the member(s) you’d like to renew. You will see adults first and girls below. If you’re renewing all members of the household and their troop participation and/or volunteer roles will remain the same, you can use the “Select All” box to simplify this process. You can also use this box to check everything and then uncheck a single option. You also have the option to mark a member as not returning to a troop and to hide any inactive members, making it easier to renew those who are active.

For each member, check any box that you and your family members continue to renew for. 

You can also select which household members will not be returning by checking the “Not Returning” box. It may be easier to mark family members who aren’t renewing first. Once you have checked everyone as not returning, be sure to save the return status before beginning to renew the remaining members. You can then choose the option to hide all inactive and not returning members. From there, you will be able to use the “Select All” checkbox to mark all other family members to renew. As long as any household members who aren’t returning are hidden from view, they will be excluded when you opt to “Select All”.

Selecting “Not Returning” will not prevent the member from renewing their membership. If a member is marked as not returning to a troop on accident or their plans change, please contact Customer Care to have this reversed. 

Any current member with the status of “time to renew membership” is eligible for renewal, and any lapsed member with the status of “lapsed membership” is eligible for renewal. Once you have all renewing members checked, you will need to scroll back up to the top to click “renew”.

Adding/Changing Volunteer Roles and Troops

If a girl will not be returning to the same troop for the upcoming membership season, primary caregivers should check the renewal box for the membership, but not the box for the current troop. From there, the “add a troop” selection should be made. This will then allow the troop search to appear so the new troop can be selected. 

For volunteers wanting to add a new role with the same troop, the membership renewal box should be checked, the box for any roles they will be continuing should be checked, and the “add a role” selection should be made. This will then allow the volunteer opportunities search to appear so the new role can be selected. If a volunteer would like to add a new role with a different troop, the “add a troop” option should be used instead of “add a role”.

Lifetime Members

While lifetime membership renewal is free, active lifetime members must still renew their participation with Girl Scouts from year to year. As you can see below, the membership status for lifetime members remains active but the individual roles are ready for renewal.

Graduation Seniors

If a girl is in 12th grade during spring renewal season, her membership status will appear as “Renew as Adult”.  When renewing a graduating senior, you will have two membership options: an annual adult membership or a discounted young adult lifetime membership. 

Any graduating senior that does not turn 18 until October 1 or later will not see the option to purchase a young adult lifetime membership until that time. Any girl members that this applies to should complete the purchase of an annual membership if they would like to be eligible for renewal incentives, according to the communicated timeline. They should reach out to our customer care team after October 1 to request support in updating their membership from annual to lifetime.

The renewal process for graduating seniors looks similar, however, a volunteer position must be selected. If a graduating senior will not be volunteering with the troop, leaders should select “graduating senior” under the participation type.

Important Reminders

Any members who have not renewed their membership before October 1 will become a lapsed member on that day. Troop leaders are unable to renew lapsed members; however, adult members, volunteers, and primary caregivers can still renew members through their own account. On October 1, when the new membership year begins, the system will show these lapsed members’ roles and Troop spots as available for volunteers or girls to join.

Trouble Logging In?

Q: Why isn’t my username working?
A: Your username is typically your email address. If you have more than one email address, try each. You can also use the “Forgot Your Password?” link to send a reset email to your email address. If you’re still having trouble, contact your council’s Customer Care team.

Q: Why aren’t I getting the password reset emails?
A: The password reset emails come from gsusacustomercare@girlscouts.org, so please make sure it’s added to your safe senders list. If you requested the reset email before marking our email address as safe, check your spam folder. If you’re still not receiving the email, contact your council’s Customer Care team to verify that your username/email address is correct.

Q: How do I reset my password when I no longer have access to the email address associated with my account?
A: Your council’s Customer Care team can easily change your username/email address without requiring you to recreate your account.

Q: Why can’t I see my family when I log in?
A: There are a couple reasons this could happen:

  • Another adult family member may be listed as the preferred contact on the account. That person must log in to renew. Contact your council’s Customer Care team if you’d like to be listed as your household’s preferred contact.
  • You may have a second or duplicate account with a different email address. Try a different username. If that works, be sure to contact your council’s Customer Care team to merge the two accounts into one.

Q: Why can’t I see my troop(s) when I log in?
A: There are several reasons this could happen:

  • Troops are listed on a separate tab from your family. If you have more than one troop, look for the pull-down menu to change between them.
  • Check your member profile to make sure you’re listed as a volunteer in the troop.
  • Not all troop volunteers can access the troop tab. Check with your council to see which volunteer roles they allow to access the tab.
  • If your background check has expired, you may lose access until it is up-to-date.

4/1–7/30  For Troop Leaders and Service Units April 1 – July 30

Troops renewing 100% of their members will have the chance to win a Troop Day at Camp!

  • 20 Troops will win
  • Troops must have 2 registered, background checked adults in Leader roles in order to win.
  • Troops will be selected at random
  • Troop Days will have council staff-led activities and showcase the best of outdoor activities.
  • Presented over 2 days at Hidden Lake Camp in Fall 2021
  • Total Troop Membership from close of business on March 31, 2021 compared to start of business on August 1, 2021.

For Troop Leaders and Service Units

Service Units renewing 80% of their Adult members will have the chance for their Troops to win priority sign up for Cookie Booths! (10 Troops Council-wide will win)

Service Units who renew 80% of their adult members (excluding lifetime members), and have a total membership of 200 members or higher, will have the chance to win “first priority” sign up for 5 council-sponsored Troop cookie booth time slots. One service unit will be randomly selected as the winner.

  • Five Troops from this Service Unit will be randomly selected to win one of each of the 5 priority time slots.
  • To be eligible to win, Troops must have 2 registered, background checked adults in the Troop Leader roles, and one registered, background checked volunteer designated as the Troop cookie manager. This person may be the same person as one of the leaders.
  • Service unit managers and troop leaders will be notified by phone.
  • Priority Sign Up is transferrable. The Product Program team must be notified of the intent to transfer, and the troop in receipt of the reward, by January 15.

Service Units that renew 80% of their adult members (excluding lifetime members) and have a total membership of 100 – 199 members, will have the chance to win “first priority” sign up for 3 council-sponsored Troop cookie booth time slots. One Service Unit will be randomly selected as the winner.

  • Three Troops from this Service Unit will be randomly selected to win one of each of the 3 priority time slots.
  • To be eligible to win, Troops must have 2 registered, background checked adults in the Leader roles, and one registered, background checked volunteer designated as the Troop cookie manager. This person may be the same person as one of the leaders.
  • Service Unit Manager and Troop Leaders will be notified by phone.
  • Priority Sign Up is transferrable. The Product Program team must be notified of the intent to transfer, and the Troop in receipt of the reward, by January 15.

  • To be eligible to win, Troops must have 2 registered, background checked adults in the Leader roles, and one registered, background checked volunteer designated as the Troop cookie manager. This person may be the same person as one of the leaders.

Getting Started with Membership Renewal

Troop Leaders can renew memberships for their household members and, in a separate transaction, they can also renew members of their troop. This all happens through the My Account portal. To access My Account, visit the council’s website and select MyGS.

From there, you will log in using your email address and password. If you can’t remember your password, you can select “forgot password” to have a reset email sent to you. Renewing Members

To begin renewing girls and adults in your troop, click on “My Troop(s)” and select the troop you’d like to renew.

Once you have the correct troop selected, scroll down to view “Member Details”. From here, you will be able to individually select the troop members you’d like to renew. 

You can also select which girls will not be returning to the troop by checking the “Not Returning” box. It may be easier to mark girls who aren’t returning first. Once you have checked girls as not returning, be sure to save the return status before beginning to renew members. You can then choose the option to hide all inactive and not returning members. 

Selecting “Not Returning” to the troop will not prevent the member from renewing their Girl Scout membership. If a member is marked as not returning to a troop on accident or their plans change, the troop leader will need to contact Customer Care to have this reversed. 

Any current member with the status of “time to renew membership” is eligible for renewal, and any lapsed member with the status of “lapsed membership” is eligible for renewal. Once you have all renewing members checked, you will need to scroll back up to the top to click “renew”. 

Once you’ve selected the girls you’d like to renew, do the same for adults. They will be listed further down on the same screen.

Graduating Seniors

Background Check for Volunteers

For the safety of all members, Girl Scouts of Northeastern New York requires background screening for all volunteers.   Don’t worry about any cost – the Council office will take care of the fees.  

New volunteers will have the volunteer role status of “Screening” until their background checks are complete. While in this status, their online access is limited. When logged in to My Account, they will only see members of their own household. 

Once complete and accepted, their volunteer status will update to “Approved." This will elevate their access to their troop online, giving them the ability to:  

  • Update troop meeting information

  • See all troop members 

  • Edit troop member information 

  • Complete spring renewals

Background checks are good for three years. Volunteers will start seeing reminders 3 months before their current background check expires, prompting them to complete a new background check. If a troop leader does not renew their background check-in time, it will expire, and they will lose online access to their troop(s). They will also lose access to the Volunteer Toolkit. 

We strongly encourage all troop leaders to confirm they have a current background check prior to April 1. Troop leaders with expired background checks will not be able to renew members and may miss out on Early Renewal incentives.

It’s important to keep in mind that any volunteer with an expired background check is no longer considered eligible to volunteer. To remain eligible, background checks should always be renewed prior to their expiration date. As the troop leader, you are able to see the screening status of all volunteers with your troop, as well as their expiration dates, under My Troop(s) in My Account.
