Council Cancelled Camp Sessions: GSNENY makes every effort to run all advertised programs. In the event that a session does not meet minimal enrollment, or the session must be cancelled for some other reason, all registrants will be contacted through the email used in registration. A refund to the original form of payment used will be processed within 21 days of cancellation. If a camp experience is canceled mid-session, that refund will be pro-rated. In the unlikely event that a camp session is canceled less than 48 hours before its scheduled start, registrants will also be contacted using the telephone number provided at registration.
Customer Cancelled Sessions: Camp payments, excluding the non-refundable deposit, are allowed if registration is canceled by June 16th, 2025. Refunds will be processed within 21 days to the original form of payment, minus the $100 deposit.
Please note, due to the advanced planning and staffing required for summer camp, refunds will not be issued for cancellations after June 17th, 2025, except in rare, case-by-case circumstances.
Weather: GSNENY Camps run rain or shine. All GSNENY camp facilities have spaces that accommodate alternate activities in the case of most inclement weather. GSNENY reserves the right to substitute activities depending on weather conditions. No refunds will be issued due to changes to the program plan due to weather.
No-Show Campers: No refunds will be issued in cases where a registrant does not report for a scheduled program without advance notification to GSNENY.
Early departure, late arrival, missed days: Refunds will not be given, in instances where a child reports late, leaves early, or misses a portion of a camp for which they are registered.
Safety Concerns: Campers are expected to follow the Girl Scout Promise and Law, adhere to all safety requirements, and exhibit respectful behavior throughout the program. Camp staff work to support each camper to enjoy camp safely. If a camper fails to follow camp rules to the extent that the safety or the successful operation of a camp program is compromised, they will be sent home. No refunds will be issued in instances where a registrant is dismissed due to inappropriate conduct.
Medical Accommodations: Medical conditions and accommodation requests must be disclosed in full in camper health paperwork in advance of the camp session. GSNENY will evaluate its ability to meet the accommodation request, as outlined in the inclusion section of our policies, and will issue a full refund if we determine we are unable to provide appropriate support to a camper. No refunds will be given if GSNENY is unable to support a camper whose accommodation needs were not fully disclosed in camp paperwork.
Emergency Medical: When unexpected, illness or injury prevents a camper from attending a session of camp for which they registered, an alternate camp session will be offered, subject to availability. If this is not possible, refunds for emergency medical reasons (less the $100 deposit) will be considered only if notification is made to customercare@girlscoutsneny.org prior to the start of the camp session and a doctor’s note is subsequently provided.

To cancel a registration or request a refund, please send an email to customercare@girlscoutsneny.org. Verbal requests, requests submitted through other email addresses or requests made directly to staff members will not be considered. Approved refunds will be processed within 21 days to the original form of payment, minus the $100 deposit.
No refund requests will be considered after August 15th, 2025.
Transfers: If space is available, we are happy to accommodate requests to transfer between camp sessions prior to June 17th, 2025. If the costs of the sessions are not the same, a refund or additional charge for the difference will be processed. If a camper changes sessions, the deposit (which is otherwise not-refundable and non-transferrable) from one session may be transferred to cover a deposit for the new session; however, a deposit may not be applied to any remaining balance due for another session.
